Job Description:

Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisor's assignment.

Provide direct on-site client support to the Chief Administrative Officer (CAO) and senior divisional leadership in the Stakeholder Engagement Cyber Infrastructure Resilience (SECIR) program at the Office of Cyber Security and Communications (CS&C) within the Department of Homeland Security (DHS). Primary responsibilities include:

  • Manage the day-to-day operations of the office;

  • Organize and maintain files and records;

  • Receive and examine all incoming requests, reports, and correspondence, including those from the Director's Office, Higher Headquarters, the White House staff, and Congress;

  • Maintain the calendar for the Director, establishing priorities at own discretion, and sets up, shifts or refuses appointments;

  • Arrange meetings, ensure locations, seating, materials, and equipment;

  • Ensure that the Director is fully briefed on matters to be considered before all meetings;

  • Compose and prepare in final form replies to correspondence of non-policy nature for own signature of that of the Director;

  • Review outgoing correspondence which is being submitted to the Director for signature or clearance for format, typographical accuracy, conformance with procedures instructions, and consistency with other material cleared or in preparation;

  • Review all correspondence and other materials prepared for the information and signature for appropriate content, coordination, and routing; and

  • Coordinate a wide range of the day-to-day administrative functions for the Legal Advisor/Chief of Staff for Military Commissions.

Candidate must have:

  • 0-3 years of experience and a BA/BS degree.

  • Ability to perform all functional duties independently.

  • Excellent writing and verbal communication skills.

  • Proficient in Microsoft Office suite.

  • Customer service orientated, focused and extremely responsive and energetic.
