Job Description:

The Visa Application Center (VAC) Supervisor reports to the VAC Regional Manager and is responsible for overseeing the daily operations of the VAC center, ensuring quality service to the applicants, while focusing on the efficient operation of the centre.


  • Ensures that the VAC operates effectively, overseeing quality control measures of customer service to all Visa applicants, while maintaining compliance with the client contract, CSRA policies and procedures and governing laws of the host country

  • Provides accurate reports according to pre-determined schedules. These include, but are not limited to:

  • Monthly templates/reports for various Service Level Agreements (SLAs),

  • Status/Issue/Risk Reports

  • Other ad-hoc reports as may be required by client contract, the Post and/or CSRA

  • Recruits, trains and manage staff to support the VAC operations. Addresses performance issues and develops/implements corrective actions when appropriate

  • Manages all VAC facility-related matters to include operational security

  • Reviews staff evaluations

  • Addresses any issues reported by the applicants, escalating those unable to solve.

  • Manages incidents with applicants at the center to avoid having the situation escalate out of control

  • Maintains a reserve of funds in case an item needs to be purchased for the office

  • Positive work relationship with staff of Consulate General of Canada in New York / Los Angeles.

  • Maintains positive work relationships with vendors who provide service to the VAC (FedEx, janitorial service, Landlord, etc.)

  • Conducts daily tests of the Biometric Collection equipment

  • Captures fingerprints using the Biometric Collection equipment and Software

  • Takes digital photographs

  • When the VAC is busy, review visa applications for completeness Qualifications

  • High School Degree or equivalent

  • 3 plus years’ experience in customer-service

  • Previous experience in Customer Service in the following industries a plus: Travel and Tourism, banking

  • Previous experience as Customer Service supervisor

  • Minimum of 2 years of computer skills in Microsoft Office (Excel, Word, PowerPoint).

  • Must be flexible to work different shifts during business hours and on weekends to meet work needs and available for contractors if/when construction is being done at the VAC.

  • Must have understanding of operations and be able to explain the process and answer any questions during audits.

  • Excellent interpersonal skills

  • Excellent organization skills

  • Excellent skills to handle and resolve conflict situations.

  • Excellent oral and written communication skills.

  • Fluent in English, 100% required (read, spoken and written) and knowledge of French would be an asset.
